Todos
Todos lists what you have to do, by priority: Critical, High, Medium and Low. In each priority, the todo at the top is the one to do first. Your todos are encrypted, and only the members of your space can see them.
To open it, select Workspace on your dashboard, then Todo.
Add a todo
- Type the todo in the box at the top.
- Choose a priority. New todos are Medium unless you choose another.
- Select Add.
The todo goes to the top of its priority, under Open. You can add one from any view; if you’re looking at another view, you see “Added. It’s listed under Open.”
Start a todo
- Select Start (▶), on the right of the todo, beside ⋯.
You see “Started.” The todo stays where it is and says Started, and the ▶ becomes a box to tick it off. To see only the todos you’ve started, open Showing and select Started.
To undo it, select Options for the todo (⋯), then Not Started.
Tick a todo off
- Select the box on the right of a started todo, beside ⋯.
For a todo you never started, select Options for the todo (⋯), then Complete.
It moves to Completed. To undo it, open Completed and select the box again.
Put todos in order
- Drag a todo by its handle, ⋮⋮, to where it belongs in its priority.
- Or select Options for the todo (⋯), then Move Up or Move Down.
- To change its priority, select Options for the todo, then Make Critical, Make High, Make Medium or Make Low. It goes to the top of that priority.
Ordering works in Open with no category chosen.
Choose what you see
The views, the category and the grouping are folded under Showing, which says what you’re looking at, such as “Open · All categories · By Priority”. Select Showing to open it, and again to fold it away. It stays as you left it until you close the tab.
See what’s due
- Open Showing.
- Select Due Soon.
It shows open todos that are overdue, due today, or due in the next 7 days. An overdue todo says Overdue.
The other views are Open, Started, Completed, Cancelled and Archived. The view you’re in has a stronger edge and bold text. If your todos have categories, choose one in All categories, on the right, to see only those.
Group by category
Under Showing, select By Category to see a group for each category, A to Z, with No category last. Each todo shows its priority, and within a group the most important come first. Select a category’s name to fold its group away; it stays folded until you close the tab. Select By Priority to go back.
The page remembers which you chose on this device. Putting todos in order works only By Priority.
Change a todo
- Select the todo’s title.
- Change its Title, Notes, Category, Due date, Priority or Status. For a category you haven’t used yet, choose New category… and type it in New category. The Notes are Markdown: the buttons above them add bold, lists, links and more, and Preview shows how they’ll look.
- Select Save.
You see “Saved.” On the same page, Complete or Reopen ticks it off or back, Archive puts it out of the way (and Restore brings it back), and Delete removes it after you confirm.
Link a todo to other items
Under Linked to, select Link… to link a todo to a project, a pillar or anything else. See Linking items.
Who can do this
Every member of the space. A Global Admin can’t see your todos.
If something goes wrong
- “Type what the todo is first.” The box was empty when you selected Add.
- “Give the todo a title, and a due date as a date.” The title is empty, or the due date isn’t a date.
- “That didn’t save. Please try again.” Check your connection, then try again.
- “This todo wasn’t found.” It was deleted, or it belongs to another space.
